Privacy in plain language

We collect only the information reasonably needed to provide our products and services, operate securely, and communicate with you. We do not sell personal information for money.

1. Scope and accountability

This Privacy Policy explains how Standardize It collects, uses, discloses, retains, and protects personal information when you visit our website, create an account, purchase a product or membership, contact us, apply to a program, or otherwise interact with us.

We are responsible for personal information under our control. We use reasonable policies, safeguards, and service-provider arrangements designed to support that responsibility and applicable Canadian privacy requirements.

2. Information we collect

Depending on how you interact with us, we may collect:

  • identity and contact information, such as your name, email address, organization, and billing details;
  • account, membership, purchase, download, support, and communication records;
  • application and payout contact information if you apply to an affiliate or partner program;
  • technical and usage information, such as IP address, browser, device, referring page, pages viewed, and approximate location;
  • preferences and consent choices, including marketing and cookie settings; and
  • information you choose to provide in forms, surveys, messages, or support requests.

Payment card details are handled by our payment service providers. We generally receive transaction status and related order information rather than complete card numbers.

3. How we use information

We use personal information to provide and improve our website, products, memberships, downloads, and member portal; process transactions; manage accounts and access; respond to requests; administer applications and partner programs; prevent fraud and misuse; maintain security; understand site performance; communicate service information, including emailing revised versions of products you are entitled to receive; send marketing where permitted; and meet legal, tax, accounting, and regulatory obligations.

We identify the purposes for collection and limit our use to those purposes, compatible purposes, purposes you authorize, and purposes permitted or required by law.

4. Consent and choices

We seek consent in a form appropriate to the sensitivity of the information and the circumstances. Some information is necessary to provide a requested product, membership, account, download, or support service. Other collection and use may be optional.

You may withdraw consent for optional uses, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may affect features or services that depend on the information. You can manage cookie choices through Cookie Preferences and unsubscribe from marketing using the link in our messages. Emails that deliver revised versions of products you are entitled to receive are service messages, not marketing. Unsubscribing from marketing does not stop them, and each of these emails also includes a way to stop receiving them.

5. Cookies and analytics

We use cookies and similar technologies to operate essential site functions, maintain sessions, remember preferences, support security, understand website use, and measure performance. Where required, non-essential technologies are used according to your consent choices.

Our cookie consent tool, SureCookie, records your choices. You can review or change available cookie choices at any time through the Cookie Preferences link in the footer. Browser controls may also block or delete cookies, although some site functions may not work correctly as a result.

6. When we share information

We may disclose personal information to trusted service providers that support hosting, website operations, payments, account and membership administration, communications (including our email service provider, SureContact), analytics, security, professional advice, and other business functions. Providers are authorized to use information only for the services they perform for us and as permitted by law.

We may also disclose information with your direction or consent; to investigate fraud, security incidents, or violations; in connection with a business transaction; or when required or permitted by law. We do not sell personal information for money.

7. Processing outside your location

Our service providers may process or store information in Canada, the United States, or other jurisdictions. Information processed elsewhere may be subject to the laws and lawful access requirements of those jurisdictions. We use reasonable contractual and organizational measures when engaging service providers.

8. Retention and safeguards

We retain personal information only as long as reasonably necessary for the purposes described in this policy, including service delivery, account administration, dispute resolution, fraud prevention, and legal, tax, and accounting requirements. We then delete, destroy, or anonymize it where appropriate.

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information. No internet transmission or storage system is completely secure, so we cannot promise absolute security.

9. Access, correction, and privacy requests

Subject to applicable law and limited exceptions, you may request access to personal information we hold about you and ask us to correct inaccurate or incomplete information. You may also ask questions, withdraw optional consent, or challenge our privacy practices.

We may need to verify your identity before completing a request. If we cannot provide access or complete a request, we will explain the reason where required.

10. Children, changes, and contact

Our products and services are intended for business users and are not directed to children under 13. We do not knowingly collect personal information from children under 13 without appropriate consent.
